Description: 

MAJOR RESPONSIBILITIES:

  • Assist in maintaining agenda for the Research Centre;
  • Provide clerical support to researchers, staff, support personnel, and students;
  • General organizing, archiving and office maintenance;

SPECIFIC DUTIES:Equipment

  • Updated and maintain database of all equipment, including computers and peripherals;
  • Manage borrowing of equipment as per procedures;

General facilities;

  • Prepare and send requisitions for maintenance repairs/other work;
  • Prepare and send requisitions to housekeeping;

Supplies and services

  • Ensure that all office and kitchen supply inventory levels are maintained adequately;
  • Prepare and send purchase order requisitions for supplies and services using the Hospital’s purchasing software application (Logibec);

Support

  • Manage reception (phone calls, emails, mail, etc.)
  • Provide administrative support to the Manager; 
  • Provide receptionist services for the Research Centre;
  • Organize meetings, including phone conference and Skype;
  • Obtain articles from library, online journals, PubMed, and other sources
  • Assist in organizing bi-weekly seminars in collaboration with designated seminar lead;
  • Update and maintain paper and electronic filing systems;
  • Maintain research account files;
  • Reserve meeting rooms;
  • Assist with the planning of social events;
  • Provide development support to other secretaries, where needed, and as appropriate;
  • Participate in regular team meetings of administrative staff;

Other secretarial tasks, as required.TERMS OF EMPLOYMENTThis is a contractual position. Anticipated start date: October 30, 2017, for 20-25 hours per week until March 31, 2018. Skills, Experience: 

Academic:

  • High school Diploma.
  • Certificate in secretarial studies, DEC in administration or office automation or equivalent experience is an asset.

Experience:

  • Minimum 1 year experience in secretarial duties;
  • Experience with translation is an asset.
